Setting time zones in Outlook ensures your calendar events and emails reflect the correct local time, no matter where you are. This feature is especially useful for managing appointments and meetings across different regions, helping you stay organised and on schedule.

  1. Access Settings:

    • Click the File tab.
    • Select Options.
  2. Configure Time Zones:

    • Go to the Calendar tab.
    • Under Time zones, enter a name in the Label box.
    • Choose your desired time zone from the Time zone list.

Notes:

  • Adjusting time zone settings in Outlook also updates your Windows clock settings.
  • By default, Outlook adjusts for daylight saving time if applicable. You can disable this, but it’s not recommended.
  • Some time zones, like Arizona, do not observe daylight saving time, and this setting cannot be enabled for them.

Adding Multiple Time Zones:

  • In Outlook for Microsoft 365, you can display up to three time zones in the Calendar.
  • In other versions, such as Outlook 2019 LTSC and Outlook 2016, you can display two time zones.
  • These additional time zones are for display purposes only and do not affect how Calendar items are stored or shown.
